Another data check question

Does anyone out there have a data check that displays text when an asset is put into complete status? I would like to have a text box pop-up that reminds people to adhere a current label once an asset is complete. I am also not sure where data checks have to be saved to make them accessable to the Met/Team database, so I could use some advice.

You could acheieve something like this by creating a data check on the work order page. When the user changes the status to complete it will ask them whether they adhered the label.

Thanks for the response. Fluke Software Support actually supplied me with the code and the data check is now operating in our system. I am interested in more data check possibilities though. Have you done anything to help automate your processes using data checks?

Ben,

 

The only thing I have used it so far is to perform error checking such as verifying standards where added for a completed work order, temperature and rh within a specified range, and etc. You can execute sql queries within in a datacheck so you can do a lot with a data check. What specifically are you trying to do?

I am looking into the possibility of automating certain steps. Met/Team is a very manual system, and very time consuming. If I could find a way to make a couple of steps happen automatically it would help speed the process up. Why does the returning step even exist? We process each calibration here basically one tool at a time. It gives us the ability to review the asset prior to launching a work order. If I could make the returning step happen upon saving a completed work order, it would save a step. I would really like to use a certain field in the database to put assets into a status upon receiving as well. The received status doesn't mean anything to me. See what I am getting at?

For the last part of your question, you can set any status to either all or certiain instruments when receiving. This is in the receiving page once you have chosen all the assets to receive. The benefit of returning separately from completion is that you can bunch workorders together that may have been updated and completed on different days but will all be returned on the same day. For smaller jobs this might not matter but larger ones make this very useful. I don't know of a way around that personally.

Since we review the assets prior to receiving them, it is more useful for us to receive them from the edit asset screen. I have seen the bulk receiving screen and used it for larger events, but I work in a manufacturing facility and am the administrator for the calibration database here. We do not normally have bulk entries. If it is possible, I would like to automate this process through the receipt of assets through the asset screen. This is also true for the returning step. I understand that if I wanted to complete a work order and hold the tool until I completed a certain number of them it would be useful. In my case however, my group would normally complete a tool and return it to the end user immediately.

I haven't tried this but could you delete the "received" status option from the combo box of work order statuses and have the top status be what you use most often? Again, I havent tried this cause it wouldnt work well for us.

That is interesting, but not sure it would really help. In our case, there are tools that we calibrate in house, tools that we send out for vendor calibration (mostly accredidation), and tools that we have an outside vendor come in and do. The ratio is about 35:35:30 in percentages. Pretty even. It would be nearly impossible to decide which status to choose, since no matter what you chose you would likely end up changing it. That is why I want to reference a field in the Asset Extended data table to make that determination.

Hi Josh,

I'm new to this conversation but have simmilar needs. Thanks for the code. My question is, if I may: How do I block the user from Completing a Work Order until QC Approved By is completed?  I can tick the "Requred" box  in the "Customize QC Approved By" pull-down, but this must only become active when th Work Order staus changes to "Complete". Hope you can help.

You can certainly add more logic to this but with this sample data check when you try and change the status to complete and there is not a QA Approved By user selected it will not allow the user to save and it will place a red squiggly validation error on the QA approved by field please see my example screen shot and code. Let me know if you need anymore clairfication.

I know exactly what you are saying it definitely seems like there is some redundancy in the process but one thing you have to keep in mind is they are trying to tailor this software to accommodate a variety of labs. The returning step is in place for a few reasons but one important reason is to process the total cost of a work order which is important in a commercial lab setting but maybe not as important for internal labs. You can do a lot with data check but you can’t go super crazy and tweak there process this would go against certain rules they have in place and could hinder the data integrity of your database. Also note that there is a return button on the work order. When you flag the work order as complete you can press the return button as a shortcut for the returning process.  

 

On the whole asset status question you may be able to add options to the disposition field or repurpose a field potentially.
